When Word needs to become a PDF
Word is ideal for writing and editing but poor for delivering. A .docx can open differently on every computer: fonts change, margins shift, tables break in a different place. PDF fixes that by freezing the document exactly as you finished it, so it looks the same on any screen, system or printer.
That is why PDF is the expected format once a document is ready to circulate: a CV sent to a recruiter, a business proposal, a contract for signing or an academic paper for submission. As well as preserving the appearance, PDF stops anyone from changing the content by accident when they open the file.
Why this conversion uses a server
Unlike tools such as merge and split PDF, which run entirely in your browser, a faithful Word-to-PDF conversion needs a server. Reproducing the Office layout exactly — fonts, tables, headers, page breaks — relies on a robust document engine that is not practical on your device alone.
We would rather be transparent about this than promise an in-browser conversion that would come out crooked. The server makes sure the final PDF is faithful to your document, from line spacing to image placement, with no surprises when someone else opens the file.
Privacy in this conversion
This is one of the three tools on the site that need a server. The file travels over an encrypted connection, is converted and deleted right after delivery — no copy is kept.
The limit is 50 MB
Above that the upload is refused before it leaves your computer, with a message on screen. The limit exists because the conversion runs in an isolated process with counted time and memory.
A Word document rarely exceeds that on text alone. When it does, it is almost always because of high-resolution images pasted inside it. Compressing those images first, or saving them at screen resolution, usually solves it.
Why the PDF may not look identical to your Word file
The conversion uses an office engine on the server, which needs the font installed in order to draw the text. If your document uses a font you installed on your own computer, it does not exist on the other side: the engine substitutes the closest match, and spacing shifts slightly.
Common fonts (Arial, Times New Roman, Calibri, Verdana) come out with no surprises. If the layout has to be exact, the safest route is exporting the PDF from Word itself, on the computer where the font is installed.
